The Technology that Keeps GDCC Running Smoothly
Are you taking advantage of available software to more effectively and efficiently manage your business? Here is a quick review of software that GDCC uses and that you may want to consider integrating into your business if you are not currently doing so.
Business Tool Suite
G Suite is a product set including Gmail, Google Docs, Google Drive, etc. Along with branded email addresses, it provides tremendous security. The Calendar lets the entire team see each member’s schedule, the ability to invite people outside the organization and provide a reminder for events. Google Docs allows you to create and edit web-based documents, spreadsheets, and presentations, store them online and access them from any computer by logging into your Google account. Google Drive offers a central storage point for your team making it easier to communicate beyond just email. If a team member is out on vacation other members are able to access information on projects such as spreadsheets, presentation files, documents, etc. shared on Google Drive.
File Sharing
With Dropbox you can move files, images, videos, documents, etc. off your computer to storage in the cloud. This saves space and allows those items to be shared outside of your organization (with clients, vendors, etc.) without a Gmail account.
Team Communication
Slack is a communications system for teams. You can create multiple channels for different topics, specific projects, specific groups of people (including clients), etc. including the ability for private direct messaging. It can reduce internal emails and help clean up the confusing way Google sorts emails. Channels can be locked for privacy or unlocked.
Project Management
Asana is a project and task management software. It helps keep teams organized and focused on goals, projects and tasks with the ability to assign a beginning and end date.
CRM
Keap (formerly known as Infusionsoft) is a CRM (customer relations management) software with e-commerce functionality. You can manage contacts and email directly from there, have an automated campaign builder and a lead generation program. It allows you to see who opens your email, who has responded to invitations you have sent out, when emails bounce, and you can store information about birthdays, favorite flowers, foods, etc. that you have collected.
Video Conferencing
Zoom or GoToMeeting allow you to connect face to face with clients, team members, and others. Even when you are not in the same location. They also include the ability to share your screen and even record calls.
Time Tracking
Harvest is a valuable time tracking tool and billing software that integrates with Asana and other programs.
Social Media
Buffer is a place to manage all of your social medial – helping you to plan, collaborate, publish and schedule posts.
Password Management
1Password, Last Pass and Dashlane are password managers to help keep your information private, secure and protected.
Fun with Clients!
The last tool, Punchbowl, allows you to stay in touch with clients and others. You can send digital cards for every occasion. You can also send invitations with the ability to track RSVP’s for those events.
